Travel Support
Thanks to the generosity of our sponsors, SAIL offers travel support and/or free registration to eligible attendees to help offset the cost of travel. Priority will be given to individuals with accepted abstracts.
The travel support application cycle for 2025 has now closed. Travel support applications are due at the same time as abstract submissions, and award notifications are announced in February.
We strongly encourage you to apply to any other sources of funding you may have available to you. Travel support will be issued after the symposium in the form of a reimbursement. In order for expenses to be eligible, they must comply with SAIL’s travel policies, and you will need to provide digital, itemized receipts.

Travel Policies
Airfare
Only the lowest-priced economy class airfare is eligible. Very important: If you are extending your business trip into a vacation, you must also include a comparison flight in your report that shows the price of a ticket as if you were only going to the conference on or before the same date that you purchased your ticket. Only the amount of the non-vacation flight will be eligible.
Lodging
SAIL is held annually at the Hyatt Regency Grand Reserve hotel. For reimbursement purposes, before departing the hotel, please request a hotel folio with a zero balance, showing the payment method used. All expenses incurred while at the hotel must be itemized on the folio. Room service/meals, in-room movies, extra beds for a family member traveling with you and other such personal expenses are NOT eligible. Your room must be a standard, garden view room that is part of the contracted room block at the hotel. The discounted hotel room rate during the symposium is $299 per night, plus taxes and $40 daily resort fee.
Ground transportation
Ground transportation to/from the airport is not provided. We recommend taking a taxi or Uber to the Hyatt Regency Grand Reserve (200 Coco Beach Blvd, Río Grande, 00745, Puerto Rico). The ride is approximately $35-50 and takes 30-45 min depending on traffic.
Meals
We will not reimburse meals or provide per diems. All meals are provided during the days of the symposium.
Visa and Entry Restrictions
Because Puerto Rico is a territory of the USA, requirements are the same as entering the mainland. US citizens and permanent residents do not need a passport to enter. You can use an eligible government ID such as a driver’s license. Please note: after May 7, 2025 TSA is requiring the “REAL ID” upgrade to driver’s licenses for all air travel.
If you are NOT a US citizen, permanent resident or visa-holder, please be sure to check visa/ESTA requirements for entering Puerto Rico so you are aware of processing times.
If you are a student, travel support must comply with any applicable student visa restrictions. Payments will only be issued directly to the name of the attending participant and will not be issued to third-party institutions/organizations.
Tax Exemption
If you are representing a government organization or other tax-exempt entity, we recommend that you complete a Room Tax Exemption form well in advance of your trip.
The SAIL Experience
Dress code is “island casual”. Think jeans or shorts with a shirt (blazer optional). We want everyone to feel relaxed and comfortable.
If you have any guests accompanying you and they would like to join the dinners on days 2 and 3 of the conference, they will need to register in advance as a guest via Eventbrite.
Nanny On Call PR is the third-party childcare service recommended by the hotel.
SAIL attendees who book their hotel rooms in our block are eligible for 20% off green fees at the 2 PGA golf courses onsite and 20% off all advance spa reservations at the Rainforest Spa. Be sure to mention “SAIL” when making your golf or spa reservations.
