SAIL is held annually at the Hyatt Regency Grand Reserve (200 Coco Beach Blvd, Río Grande, 00745) in Puerto Rico.

Travel Support

Thanks to the generosity of our sponsors, SAIL offers travel support and/or free registration to eligible attendees to help offset the cost of travel. Priority will be given to individuals with accepted abstracts.

Travel support applications were due January 19, 2024 at 11:59pm ET. Award notifications were announced on February 23, 2024.

We strongly encourage you to apply to any other sources of funding you may have available to you. Travel support will be issued after the symposium in the form of a reimbursement. In order for expenses to be eligible, they must comply with the following policies, and you will need to provide original, itemized receipts.

Travel Policies


Airfare

Only the lowest-priced economy class airfare is eligible. Very important: If you are extending your business trip into a vacation, you must also include a comparison flight in your report that shows the price of a ticket as if you were only going to the conference on or before the same date that you purchased your ticket. Only the amount of the non-vacation flight will be eligible.

Lodging

Before leaving your hotel, request a hotel folio with a zero balance, showing the payment method used! All expenses incurred while at the hotel must be itemized on the folio. Room service/meals, in-room movies, extra beds for a family member traveling with you and other such personal items are NOT eligible. Your room must be a standard, single-occupancy room where available. The discounted hotel room rate during the symposium is $299 per night, plus tax and $40 daily resort fee.

Ground transportation

Ground transportation to/from the airport is not provided. We recommend taking a taxi or UBER to the Hyatt Regency Grand Reserve (200 Coco Beach Blvd, Río Grande, 00745, Puerto Rico). The ride is approximately $35-50 and takes 30-45 min depending on traffic.

Meals

We will not reimburse meals or provide per diems. All meals are provided during the days of the symposium.

Visa Restrictions

If you are a student, travel support must comply with any applicable student visa restrictions. Payments will only be issued directly to the name of the attending participant and will not be issued to third-party institutions/organizations.

The SAIL Experience

Dress code is “island casual”. Think jeans or shorts with a shirt (blazer optional). We want everyone to feel relaxed and comfortable.

If you have any guests accompanying you and they would like to join the dinners on May 8 and May 9, they will need to register in advance as a guest via Eventbrite.

Nanny On Call PR is the third-party childcare service recommended by the hotel.

Extra-Curricular Activities

We are organizing an optional historic walking tour of Old San Juan after the program concludes on May 10. On this 2-hour sunset experience you will explore Old San Juan at the best time of the day. You will see the the Governor’s Mansion La Fortaleza, San Cristobal and El Morro Castles (from the outside), San Juan City Hall and Cathedral. The tour starts at Plaza Colón and ends at Plaza San José near restaurants and bars. The tour is guided by locals with vast knowledge about the history, culture and nature of Puerto Rico. Guides are certified by the Puerto Rico Tourism Company and are fluent in both English and Spanish.

This tour is not recommended for people with limited mobility or problems walking long distances. Strollers and electric scooters are welcomed but may need to go over a few curbs and steps.

Please note that you will need to arrange your own transportation to San Juan from the hotel. Shuttles are not provided to San Juan. Email info@sail.health to purchase tickets. Adults (Ages 16+): $36.79, Youth (Ages 5-15): $27.36
